AI Workflow Builder

Create a project from a description of your work. Nifty sets up the default views, statuses, lists and custom fields, and everything stays editable.

Written by Team

Nifty's AI Workflow Builder creates a project from a description of your work: the project views, statuses, the lists, and custom fields already set to the right type.

The workflow it builds depends on what you describe:

  • A real estate agent gets New Lead, Showing / Touring, Offer Made and Under Contract, with lists for Buyers, Sellers and Active Listings, and fields for commission, close date and property type.

  • An engineering team running sprints gets Backlog, In Progress, In Review and Shipped, with fields for story points, priority and target release.

  • A marketing team planning campaigns gets Brief, In Design, In Review and Live, with fields for channel, launch date and budget.

Start from a prompt or from one of Nifty's ready-made workflows. You see the whole project before it is created, and everything on this screen stays editable afterwards.

Build from a prompt

Create a project, then open the AI Builder tab and describe the work you want to run. One sentence is enough to get a workflow built around your process.

For example:

  • Real estate agent managing listings, showings and offers

  • Property manager tracking maintenance across buildings

  • Agency running client projects from brief to approval

  • Product team taking features from idea to release

  • Ecommerce business tracking purchase orders through to delivery

  • Support team triaging incoming tickets

  • Engineering team running two-week sprints

  • Operations team handling internal requests and approvals

  • ...or whatever it is you run day to day

Already have it written down? Paste a project outline, a scope of work or a functional specification straight into the prompt. The builder reads the whole document, so there is no need to summarise it first. The more detail you give, the less you will need to change afterwards.

Start from a ready-made workflow

Prefer a starting point? Nifty ships ready-made workflows for common kinds of work. Whether you generated one from a prompt or picked one from the list, it is yours to change before the project is created.

The preview shows you everything you are about to get, starting with statuses and lists. For a refresher on how those fit together, see Lists, statuses and tasks.

Statuses and lists

Statuses are the columns your work moves through, and lists group tasks inside the project. The builder writes both from your description.

Hover over any one to:

  • Rename it

  • Change its position

  • Change its colour (statuses only)

  • Delete it

Use the Add status and Add list buttons to create more.

Board Preview

See those statuses and lists as a working board. Toggle between Kanban and List, and scroll right for the full picture. Whichever view you are previewing when you create becomes the project's default.

Custom Fields

Every task starts with Nifty's standard fields. On top of those, the builder adds custom fields that suit the work you described, already set to the right type. A commission comes through as currency, a close date as a date, a property type as a select.

The type matters: Nifty can only total, sort and filter a field when it knows what kind of field it is. Add fields, remove them, rename them, or change a field's type.

Project Views

Different work needs different views, so the builder switches off the ones that would only add clutter. In this example a CRM has no use for a roadmap, so it arrives turned off.

Turning a view off only hides its tab. Turn anything back on whenever you want it.

Views get renamed to match the work too. Here the Tasks screen is called Leads, because that is what this project tracks.

Undo any change

Nifty keeps a log of everything you changed from the original, so you can experiment freely. Reset all puts it back the way it started.

Advanced Settings

The Advanced section covers everything else about the project.

  • Portfolio: which portfolio the project belongs to

  • Public or private: who inside the portfolio can see it

  • Default task view: the view new collaborators land on. The Kanban and List toggle in the preview sets this too.

Name it and create

Give the project a name, or keep the suggested one, then select Create Project.

Anything built this way is saved as a template automatically, so the next project of the same kind starts from the version you just refined.
