Workloads is the perfect tool for managers and team leads to monitor the distribution of tasks and gauge the volume and weight of assignments across members and groups within the Workspace. This screen gives a clear overview of each team member’s workload, ensuring that tasks are balanced and deadlines are met efficiently.

Who Can Access Workloads?

Access to the Workloads screen is determined by the user's role and permissions within the Workspace:

  • Workspace Owners, Admins, and Custom Roles: These users can view Workloads based on their permissions.

  • Project Access: Users will only see assignments for projects to which they have access. If a project is restricted, tasks from that project will not be visible in Workloads.

Use Cases for Workloads

  1. Balancing Workload Distribution
Managers can quickly identify if any team member is overloaded with tasks or if there are resources that are underutilized. This ensures fair distribution of work and prevents burnout.

  2. Resource Planning
Workloads give a clear view of each member’s capacity, helping teams plan future tasks or reassign work based on availability.

  3. Team Performance Monitoring
By seeing which tasks are assigned and in progress, team leads can track project progress, ensuring that deadlines are met and workloads are managed effectively.

  4. Capacity Management for Upcoming Projects
If you're planning a new project, use the Workloads screen to assess who is available or overloaded to make informed decisions about task assignments.

Accessing and Formatting Workloads

Workloads can be found within the Workloads tab of Reporting.

You can control the date range of the reporting scope via the date dropdown.

You can use the Filter by tool to control the reporting scope of Workloads contents.

  • Project filtering controls which project tasks (that you have access to) are reflected in this view.

  • Tag filtering further shapes what appears by filtering these tasks by the indicated applied tag.

  • User Tag filtering further shapes what appears by focusing only on the workspace members with the indicated User Tag applied. This is a great way to report based on internal teams or skillsets within your organization. Learn More about User Tags.

A task's start and end date can be adjusted by dragging the selectors that appear at the edges of the task on hover. The overall task can be rescheduled by grabbing the midsection of the task and dragging it.
