Managing Availability: User Statuses & Events

User Statuses signal short-term unavailability, while User Events are integrated into resource planning, helping manage longer absences.

User Statuses allow Workspace members to indicate their unavailability and manage notifications during periods of absence. This feature helps ensure smooth workflow transitions and communication, even when team members are temporarily away.

When to Use User Statuses:

  • Meetings: Let your team know you're in a meeting and unable to respond immediately.

  • Appointments: Mark yourself unavailable during scheduled appointments.

  • Lunch Breaks: Avoid unnecessary interruptions while you're away for lunch.

  • Sick Days: Inform your team that you’re taking a day off due to illness.

  • And more: Use User Status for any short-term unavailability, ensuring others are aware of your absence.

Should I Create a User Status or User Event?

While User Statuses are ideal for shorter, temporary absences, User Events are more suited for longer or more significant periods of unavailability. User Events also reflect in resource planning and appear in Workloads, helping teams better manage overall project timelines and allocation.

When to Use User Events:

  • Vacations: Plan ahead by marking longer absences such as vacations, ensuring workloads are adjusted accordingly.

  • Business Trips or Events: Use for conferences, off-site meetings, or extended business travel.

  • Medical/Parental Leave: For absences due to health or family reasons that may impact longer-term planning.

  • And more: Any long-term unavailability that requires visibility in workload management and planning.

By distinguishing between User Statuses for short-term notifications and User Events for extended absences, you can ensure better team communication, resource planning, and project continuity.

Creating and Setting a User Status

1. Start by hovering over your avatar in Nifty to reveal your Profile card.

2. Here you will see current available User Statuses from which to select.

3. Alternatively, begin typing in the search box to create a new User Status. Hit Create when you are prepared to move to the next step.

4. On this step, you'll customize the Status before setting it. First, set an emoji for this User Status. This emoji will appear in specific areas in the Workspace next to your avatar to indicate that this status is active.

You'll also be able to set the following:

  • A date at which the User Status will automatically be removed

  • Your availability. Setting this as online will show your indicator dot as green while the User Status is applied.

  • Your notification preference. You can choose to block override your notification settings within your settings to ensure that you are not disturbed if you do not wish to be.

  • Status Template. This allows for future use of this User Status without having to recreate it. This template will become available for other workspace members to use as well.

Select Set once you're ready to apply the User Status.

Once the User Status is set, you'll see the status' emoji next to your name in Direct Messages as well as when your profile card is revealed on hover.

Editing and Deleting User Statuses

User Statuses can be edited by clicking on them via the selection screen of Set status. Alternatively, a Status can be deleted via the trash can icon on hover. Edited and deleted User Statuses are reflected for the entire workspace.

Creating User Events

User Events are a way to indicate that members of the Workspace have a non-task engagement during a (typically extended) period of time.

Unlike User Statuses, Events reflect in resource planning, as we'll see below.

1. To create a User Event, access a member's Profile screen.

2. From inside the Profile, select Create Event.

3. Start by naming your event and giving an optional description.

Event parameters you can set are:

  • The Start and End dates of the event, as well as if these events last All Day during the time period.

  • Which members of the Workspace this event applies to.

  • If event members will be available during the event, as well as if they should receive notifications during the event period.

  • Lastly, you can also create a corresponding User Status for this event to streamline collaboration for others in the Workspace.

Hit Create to save the event.

4. Saved events will appear in the profiles of those attending.

Tracking and Editing User Events

Once created, User Events can be tracked throughout Nifty, visible in:

  • Attendee's Profiles (seen above)

  • Workloads

  • Calendar

The event can be clicked on in any of these locations to see more details about it.

Events in Workloads for Resource Management

The event will appear over the course of the indicated days within the attendee(s)' profiles. This allows you to account for their absence when making resource decisions in this screen.

Events in Calendar

Events will also appear within the Calendar tool for the respective days indicated for the event. You can toggle User Events on or off to control their display in the Calendar.

Editing Events

An Event can be clicked on in any of these screens to be previewed or edited.
