Capacity is calculated using your team’s working hours and availability, then compared against the effort assigned to tasks through Estimates or Story Points.
Together, Calendar and Workloads give you a consistent view of team capacity so you can distribute work more effectively and avoid overloading teammates.
Benefits of Capacity Planning
Capacity planning helps teams make better decisions about when and where work should be assigned. You can use it to:
Estimate task effort: Define how much time or effort a task is expected to require.
Understand team availability: See how much working capacity each teammate has based on their schedule and time off.
Balance workloads: Compare assigned effort against available capacity before workloads become excessive.
Plan project delivery: Understand how much effort is required across tasks, Lists, and milestones.
Schedule work more effectively: Use Calendar to see when teammates have availability and adjust assignments directly.
Estimates & Story Points
Nifty supports two ways to estimate the effort required for a task:
Estimates measure effort in time, such as
30m,2h, or8h.Story Points measure effort using points, with each point converted to a configurable number of working hours.
Both ultimately allow Nifty to compare the effort assigned to a teammate against their available working capacity. You can choose Hours, Story Points, or None as the default estimation method for your workspace and override that setting for individual projects.
Setting Up Capacity Planning
To start using Capacity Planner, you’ll configure three things:
Choose your estimation method
Set workspace and individual working hours
Add Estimates or Story Points to tasks
Once configured, Nifty can compare scheduled effort against each teammate’s available capacity in Calendar and Workloads.
Choosing Your Estimation Method
Nifty supports two ways to estimate task effort: Hours and Story Points. One method is set as the default for your workspace, while individual projects can override that default when needed.
Open your Workspace Control Center → Planning to configure your workspace's estimation settings.
Set the Default Estimation Method
In the Planning section, choose how your workspace estimates task effort:
Hours — estimate effort using time, such as 30 minutes, 2 hours, or 8 hours.
Story Points — estimate effort using points that Nifty converts into working time.
None — disable Estimates and Story Points if your workspace does not use effort-based capacity planning.
If you choose Story Points, use A day is worth to define how many Story Points represent one full working day.
Override the Estimation Method for a Project
Individual projects can use a different estimation method from your workspace default. Open Control Center → Projects, select the project you want to update, and change its Estimation unit.
This is useful when different teams or workflows prefer different ways of estimating effort.
Set Team Capacity with Working Hours
Capacity represents the amount of working time a teammate has available.
Nifty calculates capacity from your workspace or individual working schedules and uses that availability when comparing assigned effort in Calendar and Workloads.
For example, a teammate who works 8 hours per day, Monday through Friday, has 40 hours of weekly capacity before accounting for time off. When using Story Points, Nifty converts available working time into points using the value configured under A day is worth.
Set Workspace Working Hours
Workspace working hours define the default schedule Nifty uses to calculate team availability and capacity.
In Control Center → Planning, start by selecting your workspace time zone.
Set the working hours for each day to reflect when your team is normally available. Click any working-hour block to adjust the start and end time.
You can also mark a day as unavailable or select Add a break when a workday includes non-working periods.
Use Copy to... to quickly apply these parameters to other days.
As you adjust the working hours on a per-day basis, the weekly total will update. This value is the hourly capacity of each team member unless otherwise specified.
Set Individual Working Hours
If a teammate works a different schedule from the workspace default, select + Give someone their own hours.
Select the teammate, then define their individual time zone, working days, and working hours. Nifty will use this schedule instead of the workspace default when calculating that teammate's availability and capacity.
Add Estimates or Story Points to Tasks
Adding an Estimate or Story Point value tells Nifty how much effort a task is expected to require. That effort can then be compared against each teammate’s available capacity in Calendar and Workloads.
How you enter effort depends on the estimation method being used:
Estimates: Enter time values such as 15m, 1.5h, or 4h.
Story Points: Enter the appropriate point value based on your workspace’s Story Point configuration.
Add Effort to a Task
The workspace’s default estimation method will appear on a task unless the project has its own estimation setting.
Estimates and Story Points can be added to both tasks and subtasks.
Track Estimated Effort on Roadmap
When a project uses Story Points, Lists in Roadmap can aggregate the Story Points assigned to open and completed tasks.
This gives you two ways to understand progress:
Task completion: the percentage of tasks that have been completed.
Effort completion: the proportion of assigned Story Points that has been completed.
View Team Capacity
Once working hours and task effort are configured, Nifty can compare each teammate's assigned work against their available capacity.
You can view and manage team capacity from both Workloads and Calendar.
Track Capacity in Workloads
Workloads gives you a broader view of how work is distributed across your team.
Each teammate's capacity is calculated from their working hours and availability, then compared against the effort assigned to them.
Workloads uses the same underlying capacity settings as Calendar, so your resource planning stays consistent across both views.
Track Capacity in Calendar
Calendar gives you a daily view of your team's availability, assigned work, and remaining capacity. In Day view, select Group by → Assignee to display each teammate in their own column.
Choose which teammates you want to include in the view. Work without an assignee appears separately so it can be easily identified and allocated.
Open the Show menu and enable Capacity.
Each teammate's column shows their available capacity based on their working hours and time off. When assigned effort exceeds their available capacity, the day is highlighted so you can quickly spot workload issues.
From this view, you can also:
Drag tasks between teammate columns to reassign work.
Drag unscheduled tasks into Calendar to schedule them.
Add or update Estimates directly from Calendar.
Create tasks, events, or time away from an empty calendar slot.
Group the Day view by Project instead of Assignee when you want to compare project schedules.
Capacity Planning FAQs
> How do Story Points translate into capacity?
Story Points are converted into working time based on the value configured under Control Center → Planning → A day is worth. This allows Story Point-based workloads to use the same underlying working-hours model as hour-based Estimates.
> Will Nifty prevent me from assigning someone over capacity?
No. Nifty will show when assigned effort exceeds a teammate’s available capacity, but it will not prevent additional work from being assigned.
> How does time off affect capacity?
Time off reduces a teammate’s available capacity for the affected day or period and is reflected in Calendar and Workloads.
> Can teammates have different working hours?
Yes. Workspace working hours act as the default, while individual teammates can have their own working schedule and time zone.
> Can I exclude weekends from capacity planning?
Yes. Workspace Owners can choose whether weekends count as working days from Control Center → Planning.
> What happens when a task has multiple assignees?
The task’s estimated effort is attributed in full to each assignee rather than being divided between them.
> Can different projects use different estimation methods?
Yes. Your workspace has a default estimation method, but individual projects can override it with their own setting.
> Can I use Estimates on subtasks?
Yes. Estimates and Story Points can be added to subtasks just like top-level tasks.
