List & Status assignments are a simple yet powerful way to automate and update assignments to streamline workflows.
These assignment automations are fantastic for:
Approval workflows
Form intake auto-assignments
Project phase ownership
How List & Status Automations Work
You will see the opportunity to assign a project collaborator to a List or Status when your Tasks screen is grouped by that respective entity.
List view defaults to a List grouping
Kanban view defaults to a Status grouping
The assignment will appear at the top of the grouped by entity with an assignment icon, such as this example which shows List assignment.
Assignment Updates
When a collaborator is assigned to a List or Status, they are automatically assigned to any task within them, including new tasks that are moved into the List or Status.
This example shows a task being assigned to Ashley as it moves into a Status assigned to her.
However, unlike when someone is assigned directly to a task, a List or Status assignment will unassign that person when the task exits the List or Status to which they are assigned.
In this example, the task is moved out of the Status that is assigned to Ashley, thus removing her assignment.
Understanding Assignment Updates
You can use the below diagram to ensure you understand how List and Status assignments will function based on a task's update.
| Status 1 (Assigned to Ashley | Status 2 (Unassigned) |
List A (Assigned to Carlos) | This Task is assigned to Carlos & Ashley | This Task is assigned to Carlos |
List B Unassigned | This Task is assigned to Ashley | This Task is unassigned |
If this diagram is helpful, try changing your Tasks view to Swimlane to see it within your workspace.
